The purpose of this procedure is to develop a formal process for Job Description Review Requests. A Job Description provides a clear and concise outline of the position’s key accountabilities and minimum qualifications. It is a tool to understand how the job fits within the division. It assists in assigning value to a job as well as define the right type of person needed to fill the job. Job descriptions also assist as a guide in evaluating employee’s performance. Divisions will submit a request form to Compensation staff as necessary using the following procedure.

To request a Job Description Review, complete and submit the Seamless Doc form online with the applicable job description sections completed and route it to the appropriate Division manager or designee for approval. Upon the Division’s approval, Compensation will receive a notification email regarding the submission. Compensation will confirm receipt of the request with the Division Liaison with an estimated project start date. After final approval, Compensation will notify the Division Director and Liaison of the final decision.
*Note: Your request will not be completed unless each requested job description section is entered.

The Job Description Seamless Doc form can be accessed using the following URL:

a) Job Descriptions are assigned project start dates and completed on a first come, first serve basis.
b) The Division Director or Liaison will receive a notification of receipt from Compensation within 2 business days of the Seamless Doc submission.
c) From the assigned project start date, completion typically takes at most 10-20 business days.
d) Compensation will notify the division liaison on the status of the request – whether the project is completed or additional information is needed – no later than 20 business days after the project has started.
